SHIFT: MON-FRI: 8:00AM-5:00PM OR 10:00AM-6:00PM

SUMMARY: The Patient Account Representative, under the direction of the Clinic Manager, provides front desk coverage and support. The PAR may also perform various coding and charge entry processes where appropriate. The PAR functions as a Clinic Business Office patient resource and coordinates Clinic referrals as needed. The Patient Account Representative works collaboratively with patients and families, physicians, nurses, management, and support staff to promote efficient and empathic care in a cost-effective manner.

PATIENT ACCOUNT REPRESENTATIVE Job require candidates to:

  1. Provides front desk coverage and support.
    1. Registers patients and coordinates visitor reception activities.
    2. Answers calls at main telephone console and routes accordingly.
    3.  Schedules patient appointments.
    4. Retrieves and files patient charts and loose filing.
    5. Initiates refill requests for prescriptions.
    6. Assists with opening, sorting and distributing incoming mail as needed.
  2. Performs various coding and charge entry processes, where appropriate.
    1. Codes fee slips, verifies charges and monitors fee slip data entry.
    2. Monitors data entry process to assure timely charge entry.
    3.  Monitors listing of appointments not billed and researches and resolves all unbilled Clinic visits on a regular basis.

  3. Serves as a business office contact and coordinates Clinic referrals.
    1. Answers incoming calls to the Business Office in a courteous and timely manner and provides information, patient accounting/billing information or routes caller to Central Business Office contact person.
    2. Maintains current knowledge of referral requirements for insurance products of health plans and preferred provider organizations.
    3. Communicates referral requirements to Clinic providers and staff, educates new Clinic providers on referral requirements and assures that insurance referral requirements are followed.
    4. Responds to questions about referrals and resolves referral problems.
  4. Prepares the daily Clinic receipts deposit, prepares accounts payable invoices and maintains office supply inventory.
    1. Receives patient co-payments, reviews invoices received, confirming receipt of product or supply item and matches invoices to packing slips/billing statements.
    2. Determines correct expense account allocation for invoices.
    3. Forwards prepared invoices to Clinic Manager for payment approval.
    4. Coordinates office supply ordering monitors inventory and pricing and places orders for approved supply items.
  5. Coordinates medical release of information and assists Clinic Manager with occasional miscellaneous tasks.
    1. Receives requests for release of information.
    2. Provides general secretarial support for Clinic Manager.
    3. Assists with occasional short-term projects or tasks as requested.
  6. Performs other duties as assigned.

EDUCATION and/or EXPERIENCE 

Education: Successful completion of high school or equivalent.

Experience: One (1) year work experience involving customer service.

PERFERRED QUALIFICATIONS:

Education: Successful completion of a post-high school vocational or technical program in general business or medical office practices.

Experience: Experience in a physician or general office setting.

TECHNOLOGY SKILL BASE

This position requires knowledge in computer technology that includes: Windows, Excel, SQL query writing (SQL Server), Visual Basic, and the rest of the Microsoft Office Suite.  Experience with common dashboard tools is preferred.  Requires the ability to navigate multiple SharePoint sites and CRMs.  Individuals must possess the ability to learn and understand new software and other technology applications as introduced by Clients and company.

 

The starting pay rate for PATIENT ACCOUNT REPRESENTATIVE $16.35 AN HOUR, plus overtime as needed.
