We are currently seeking a professional and organized individual to join our team as a Receptionist & Executive Secretary. In this role, you will serve as the first point of contact for visitors and callers, while also providing administrative support to executive staff members. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities: Receptionist Duties:

  • Greet and welcome visitors in a courteous and professional manner.
  • Answer and direct incoming calls to the appropriate departments or individuals.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean and organized reception area.
  • Assist with scheduling appointments and conference room bookings.
  • Coordinate travel arrangements and accommodations for staff members as needed.
  • Perform other administrative tasks as assigned.

Executive Secretary Duties:

  • Provide administrative support to executive staff members, including managing calendars, scheduling meetings, and arranging appointments.
  • Prepare and distribute correspondence, memos, reports, and presentations.
  • Assist with document preparation, editing, and formatting.
  • Coordinate and facilitate communication between executives and internal/external stakeholders.
  • Maintain confidentiality and discretion in handling sensitive information.
  • Complete expense reports and reconcile receipts for executive team members.
  • Assist with special projects and other duties as assigned.

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Previous experience in a receptionist or administrative support role is required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong communication skills, both written and verbal.
  • Excellent organizational and time management skills.
  • Ability to prioritize tasks and work efficiently under pressure.
  • Professional demeanor and strong customer service orientation.
  • Discretion and confidentiality in handling sensitive information.


Pay Details: $1.00 to $4.00 per hour
